Location Hato HQ - London (remotely during pandemic)
Contract Part Time, 24 hrs per week
Reports to Directors

HATO consists of a design studio, digital practice, concept store and printing & publishing house. Our work spans across different industries with clients such as Wellcome Collection, Tate, Somerset House, Burberry, Art on The Underground & Google.

We are currently looking for a bright, experienced and confident studio manager to manage the flow and day to day happenings of HATO. Working alongside the directors and management team you will play a pivotal role in structuring and maintaining a steady and precise workflow both in the studio and remotely. The role is part time working both remotely and in the studio where necessary.

Key Responsibilities

Day to day

  • Oversee the smooth running of all aspects of HATO including the store, studio, printing press.
  • Workflow Management: developing project schedules, ensuring briefs are dispatched within the studio, managing workflow, coordinating staff, ensuring work is delivered on time, monitoring time tracking
  • Managing Hato Press client communications: putting together print production quotes; organising deliveries; invoicing
  • Maintaining and managing the studio calendar ensuring all team members are up-to-date
  • Retainer client communication: Main contact for retainer clients, responsible for delivering deadlines and tasks as and when required. Liaising with and managing relevant team members to execute and deliver on time.

Weekly

  • Alongside Directors putting together digital and design quotes for HATO, contracts and statements of work, schedules for clients and projects working with existing templates and implementing developments where needed.
  • Assisting department managers with their weekly tasks
  • PA support to directors: scheduling and managing diaries, booking travel, correspondence, taking meeting minute.
  • Running weekly studio-wide catch up meetings, setting up documents and minutes.

Monthly

  • Monthly finances: working with bookkeeper, accountants and department managers to ensure all queries on monthly accounts are submitted.
  • Office maintenance: maintaining internal systems, office stock levels, archiving file copies.
  • HR: monitoring annual leave, assisting in hiring processes, drafting staff contracts, developing HR documents, handbooks and maintaining our staff benefits and training programme (HATO Dō)

Qualities requires

  • Excellent written, editing and presentation skills
  • Strong mathematical skills
  • Ability to represent HATO to clients, press and relevant events
  • Able to manage a team and work collaboratively in a fluid environment under pressure and tight deadlines
  • Impeccable organisational and time management skills
  • Overall familiarity with graphic design, editorial processes and design software
  • Flexible, highly driven, self-motivated and punctual
  • Commitment to working well as part of a team
  • Valid UK work permit
  • min. 2 years experience in studio or production management for design or creative based businesses
  • Solutions orientated problem solver
  • Existing relationships within the cultural sector within the fields of contemporary art, design, architecture, including museums and biennials within the UK and abroad
