Purpose
This is a pivotal role in the studio suited to someone with a big personality who likes being the heartbeat of the team, someone everyone can depend on to get stuff done.


You’ll have a supportive role to the Directors, the Finance Manager and internal teams, in particular the Project Managers. Reporting to the Senior PM and Directors, you’ll be in charge of the day-to-day management of the studio. You get a buzz out of being organised, are able to manage your own time and work well under pressure.


Description
Your role will support the daily running of the studio whilst support the various teams within the studio from the design teams to finance. Your role will overlap organisation and daily tasks with financial and management tasks such as supporting the Finance Manager with receipting and organising travel etc. You will have responsibility for the filing and documentation of work running through the studio- this may involve organising the server or paper systems to help the Directors manage their administrative work. Although you will be ultimately responsible for your own individual tasks, this is very much a team environment and you will bring energy to the team, helping to organise things like away-days and studio parties too.

Job Duties
- Be our studio ‘front of house’; greeting clients and visitors and helping create a welcoming environment
- Internal meeting management – scheduling / agenda creation / taking minutes
- Key in motivating the YourStudio team, taking a central role in organising events, trend talks, excursions etc
- Social Media management
- Manage Directors diaries day-to-day
- Responsible for Director’s expenses; assisting staff with expenses forms and processing reimbursable expense invoices, liaise regularly with our accounts team
- Recruitment support: Helping to source freelancers and suppliers
- Supporting teams with new hires including talking to agents, negotiating fees, filtering CVs etc
- IT Support coordination and point of contact
- Coordination of deliveries in and out of the office
- Petty cash and chasing timesheets
- New starter inductions
- Answering main phone line 
- Magazine subscription renewal
- Responsible for ordering office purchases incl. stationery and general supplies
- Update of resource calendar/staff holidays
- Document control, i.e. uploading project drawings and information that comes into and goes out of company via FTP/email/download links
- Logistics management Assisting PM/finance/YS team where required


Skills and Qualifications
Not essential but if qualified, some kind of degree or diploma relating to business, finance or administration. A couple of years of experience ideally in a studio admin or organisational role. Skills at dealing with clients, attention to detail; organisational skills; planning skills; research skills; analytical skills; critical thinking skills; problem-solving skills; computer skills; multi-tasking abilities; integrity, honesty.
