Boiler Room is seeking a Studio and Office Manager who will be responsible for workflow process across departments and for the successful running of the Office.



Studio traffic and Resource management responsibility for a full project end-to-end - Event, Design, Film and Content Creation, outlining full resource, administrative and budgetary oversight.
Leading and maintaining traffic & scheduling systems and processes, including project management systems (Teamweek and Air Table - training will be provided).
Supporting designers, producers and project managers by working together to define the scope of projects, scheduling and allocating resources as needed.
Developing productive working relationships with colleagues in other departments – e.g. Delivery, Finance, New Business, Marketing and Live Broadcast - at all levels - and ensuring cross-departmental projects proceed smoothly.
Being responsible for the freelance database, identifying and developing new freelancers and ensuring the right suppliers are hired so that projects can proceed smoothly.
Tracking department invoices, ensuring timely payment of suppliers.


Front of house duties and responsibilities; answering the door intercom, greeting external suppliers and guests, setting up meeting rooms for senior management when needed, accepting and arranging post, opening and locking the office.
Office administration; owning the company calendar and setting up meeting room scheduling, arranging the upkeep of the office space, liaising with outside suppliers and replenishing refreshment stocks.
Being the point of contact for all BR HQ event/studio space hiring.
Tracking supplier invoices, ensuring timely payment.
On-boarding new employees & freelancers setting up IT log-ins, keys, desk space and providing them with office orientation.

Essential skills:

Strong people skills and must be able to encourage and contribute to positive office morale
Focused strategic thinking and great with deadlines
Excellent IT skills, specifically Google Suite and Mac
Effective negotiation skills and experienced with managing suppliers and contractors
Keen attention to detail, self-motivated and pro-active approach
2+ years agency experience in a similar role is preferable
