Acrylicize is a multidisciplinary creative studio that is exploring the boundaries between art and design in the context of placemaking and identity. We design, produce, and install bespoke art installations to express a brand or identity, disrupting both the traditional art world model and accepted notions of branding.

Purpose of Role
This is a pivotal role in our busy studio; you’ll need to have a strong character, be supremely organised, know what you’re doing when it comes to PA management and assert yourself as the go-to person in the studio. You will work closely with the Operations Manager and act as the ‘face’ of Acrylicize, ensuring that the studio runs as smoothly as possible. If you’re an efficient, organised and lively person then these tasks shouldn’t take up too much of your time and go hand in hand with building relationships with staff and clients, which will aide in your role as PA to our Director. We have a diverse range of tasks to keep you busy and there is plenty of opportunity for growth.


PA to Director
• Complex diary management for one of the Directors
• Extensive and efficient email correspondence
• Answering telephone calls in a timely fashion, taking clear and detailed messages
• Greet all guests and make them feel a part of the Acrylicize family
• Organising meetings, including booking venues, ordering refreshments when clients visit the studio
• Manage courier pickups, deliveries, etc.
• Collect and distribute post

• Ensure that the studio is tidy and well-organised at all times
• Responsible for studio facilities, environment and expenditure, including cost control
• Manage and order studio stock and equipment
• Responsible for travel organisation between our offices in the UK and US, keeping an eye on getting best value and enforcing our travel policy
• Plan studio-wide social events from team lunches, drinks, parties, to days out
• Coordinate the weekly company get together “Tuesday Club”
• Manage the studio’s contract administration for all services and utilities – phones, printers, mobiles, gas, water, electrics, etc.
• Manage any maintenance, H&S and fire safety of building including training and PAT testing

• Provide first-line IT support with training and guidance from our external IT consultant
• Liaise frequently with our external IT consultant for any larger issues
• Manage all printers and server access
• Manage database of all equipment and software licenses

HR Administration
• Manage holiday requests and new starter/ leaver process in PeopleHR with guidance from the Operations Manager
• Update Studio Handbook and run through this with new starters

Essential Knowledge/Skills/Attributes
• Ability to plan and organise tasks efficiently
• Excellent diary and email management skills in G-Suite
• Detail-orientated
• Focused and responsive
• Enthusiastic and able to take the initiative
• True team player attitude – no task too big or small to take on with enthusiasm
• Proven ability to connect to a wide range of people and pre-empt their needs
• The ability to adjust communication styles for different situations or people is essential to success in this role
• Basic IT skills with Macs
• The ability to meet deadlines under pressure
