THE BACKGROUND


We work incredibly closely with our clients, to the point where it’s even a little weird calling them ‘clients’. We have a no-bullshit policy, meaning we have a completely transparent and honest relationship with them that fosters mutual feedback. We see you being in charge of day to day contact and delivery for our clients while being our studio team’s best friend while working on projects together.


Put simply, we want to do incredible work that we’re proud of and makes our clients love us. We live for it. Where there’s an innovative solution to be had or simple amends to complete, we should have tackled it even better than anyone could have imagined.


We have a fantastic team of hands on, knowledgeable Producers and Producer Leads. With the number of incredible projects Phantom have on board, we are looking to onboard a strong senior level Producer with proven leadership experience and a passion for new business. Our Producer team maintain close relationships with their clients (we don’t have Account Managers at Phantom!), so a talent for relationship building is important for both this role, and Phantom as a whole!


HOW YOU’LL BE RIGHT FOR THIS ROLE


We’re not at all a traditional agency, but we see this role as a Senior-level Digital Project Manager with a good mix good of Account Direction and Business Analysis (we believe both of these things are natural in a great PM!). You’ll be focussing on our non-Google projects, including existing fantastic relationships, as well as new opportunities on the horizon.


Project Management
+ Work directly and communicate regularly with client partners and stakeholders
+ Deliver or overview the delivery of projects within timeline and budget to the best possible result
+ Assist in the management of studio workflow
+ Handle multiple projects and manage conflicting demands
+ Create, review and collaborate on project plans, manage workload and keep production on-track
+ Create, review and collaborate on project documentation
+ Translate client briefings to full written briefs and project specifications
+ Upkeep familiarity with production tools and related processes.
+ Demonstrate excellent communication with clients, producers, strategist, designers & developers.
+ Follow industry guidelines to produce work to best practice.
+ Provide clear rationale and supporting insights to justify recommendations.
+ Think both small and big picture (sometimes both at the same time). This means understanding the
client’s overall long-term challenges as well as the immediate ones.
+ Guard Phantom’s processes both internally and client side. Help adapt and improve these wherever
necessary.
+ Be incredible at sharing results and successes with both the team and client.


Account Direction
+ Make sure our clients stay in love with us. Maintain the open and colleague-like relationship we already have and find new ways for them to love us even more.
+ Have regular meetings with all client contacts to gauge satisfaction.
+ Review and sign off relevant studio timelines, cost estimates and SOWs before they go to client.
Work with the relevant people to ensure these are both appropriate and accurate.
+ Ensure all actions are followed up efficiently by the relevant team members.
+ Make sure invoicing is being conducted in a timely manner.
+ Keep a living record of finances and project future potential income.
+ Problem solve and manage any issues through to a positive outcome.
+ Have an instinct for spotting potential issues or relationship conflicts ahead of time and devising
plans to limit impact or make improvements.
+ Respond to fires quickly, professionally and in line with Phantom’s values and commitments, always
aiming to identify solutions that best protect both Phantom and our client’s needs.
+ Work closely on business financial information and reporting to ensure our client work is performing,
profitable and on a consistently upward curve.


Business Development
+ Develop planning for future new business opportunities.
+ Help respond to requests for proposals by working with relevant team members to develop the
fantastic responses.
+ Work with Business Director to lead exploration of new projects of opportunities for growing existing
relationships.
+ Participate in new business pitches and attend meetings with prospective clients.
+ Mentor team members to upskill their own business development offerings and approaches to
pitches and proposals.


Team leadership
+ Guide members of the Producer team in their tasks, providing advice and mentorship.
+ Ensure the whole Phantom team loves and trusts you. Listen to their pain points and work internally
and with the client to improve them.
+ Run frequent team meetings to capture any red flags or issues ahead of time.
+ Escalate any issues of major concern to the Directors in a timely manner.
+ Participate in interviews for new team openings and conduct employee reviews ongoing
+ Assist in leading brainstorms for exciting new projects.
+ Keep in MD, TD and CD in the loop and aware of the both successes and issues in studio
+ Act as line manager to your own Production team (as the team grows)

Your credentials
+ Plenty of digital experience.
+ History of building long standing client relationships.
+ Proven success working directly with creative and technical teams.
+ Examples of past successful work.
+ A university degree in a related field. While this isn’t everything to us, it at the very least shows your
ability to commit and complete a challenge.
+ Experience across agency or in house marketing environments.
+ At least 3 years experience in a senior project management/direction or account
management/direction role.

+ An interest in the entertainment, healthcare and publishing industries.
+ Basic knowledge of coding languages
