Office manager

The office manager will be a proactive, process-driven, people person who is kind but tough. Detail driven, the right person will thoroughly enjoy being the key support person for staff at every level. Striving for excellent service standards, the office manager will keep everyone on their toes and run a super tight ship.

1st class travel management
Organising water tight travel arrangements for the director and all the agents including arranging specific seats, ensuring meet and greet, making sure IT equipment supplied and ready, arranging upgrades, managing airline / air miles accounts, creating clear and well thought out itineraries, taking care of online checking etc

PA to the director duties
Making sure the director has a clear outline of her daily schedule every day. Ensuring artists meetings are well thought out and that her time is not overstretched or chaotic. Her schedule iscomplicated with 2 young kids and a 4 day week and she will need someone to keep a close eye that she isn’t taking on too muchHelping manage her Cozi app and any shopping extra bits required as and when

Managing plans for holidays
Helping with staff Christmas presents and any flowers or gifts for clients and artists

Staff management
The office manager should command the full respect of the office manager - he/she will be kind but tough - expect staff to turn up on time and be ready for the meetings that we have on a weekly basis. Firm but fair!
Organising Christmas parties and coming up with cool ideas for away days for the agents, brainstorming sessions, keeping up to date with media on this subject

Management of the office weekly schedule
Taking a really proactive role in the organising of the directors meetings, childcare arrangements, gym sessions, acupuncture sessions, holidays and any travel or trips. Coordinating this schedule with the office internal and external meetings and managing due
expectations of us from clients and artists alike Forecasting which meetings might need to happen and encouraging the relevant work flow there Managing twice meeting production meetings and ensuring they start promptly and are thoroughly prepared from

Managing holidays, sickness, reviews, promotions, pay rises, bonuses and all relevant paperwork

Managing Look books, quick books and all left brain IT support and ensuring all staff members have
what equipment and systems they need at any given time. If something breaks down or there is a glitch in the system, flagging the issue and managing the solution is delivered in a quick and timely manner
Ensuring all our databases and contacts are all kept up to date - market contacts, mail chimp,

Managing all suppliers
Including office rent, IT, phones and stationary etc

Legal, insurance and accounting
Ensuring we are constantly updating our documents in line with legal requirements and that work
flow is kept a close eye on

From time to time the office manager will be required to step in to help on any many of production
support from being on set to helping pack the kit.
