Studio and Project Coordinator at ARPA

ARPA is a creative agency specialising in art direction and graphic design. The studio works with a broad range of clients within the fashion and cultural sectors creating print and digital campaigns, brand identities, packaging, lookbooks, publications and websites. ARPA also produces Noon, an art and fashion magazine published twice a year.

Clients include: Adidas, Céline, Victoria Beckham, POP magazine, Stella McCartney, Missoni, John Lobb, Fabrizio Viti, See by Chloé, Hayward Gallery & Tate.

We are looking for a bright and motivated studio and project coordinator to help run this busy studio. The right candidate will be confident in managing multiple projects, be comfortable with building and maintaining client relationships and be diligent in the day to day running of the studio. The role is varied with many ad hoc studio management duties so a flexible and proactive “can do” attitude is essential.

Studio Management

Responsible for the smooth day-to-day running and upkeep of the studio
Answering the telephone, directing calls and taking messages accurately
First port of call for all visitors
Managing the studio diary (meetings, shoot dates, project deadlines)
Assisting with travel bookings
Supporting the Creative Director and team with key administrative tasks
Basic preparation of studio expenses, invoices, statements for accountant each VAT quarter
Scheduling freelance designers, interns as and when required
Reviewing intern applications
Managing interns and external freelance staff

Project Management

Running weekly status meetings
Maintaining and managing the live internal work schedule
Initiating studio meetings when required to keep projects on track and to flag any issues
Liaising with clients re: deadlines and feedback
Management of project timings and deadlines - ensuring each stage of project is delivered on time
Post Production - management of edit, liaising with client, photographer, producer, retoucher

The ideal candidate will have at least 1-2 years experience in an administrative/project management position within fashion and would like to develop their career within the creative industry. A conscientious and dedicated worker with a meticulous eye for detail is key, as well as excellent organisation, time management and communication skills. ARPA is a collaborative and friendly working environment where the right person could become an essential part of the growing studio.
