The Role

The Studio Operations Manager plays a vital role in ensuring the studio runs efficiently, responsibly and within budget, while enabling the agency’s creativity, culture, work and values to thrive. As the first point of contact for the team, visitors and suppliers, they oversee, manage and continually review all aspects of the studio’s operations.

Responsibilities - Studio Operations

Front of house duties

Meeting room management, AV, and hosting

Studio budgets; the monitoring and management of expenditure to achieve them

Negotiating contracts, and actively managing studio/facilities suppliers to ensure cost-effectiveness, environmental responsibility, and support to the local community.

Tech including:

  • Computer hardware budgets, purchase, rental and maintenance
  • Managing Dropbox including development and implementation of filing and archiving protocols
  • Managing software licences and budgets
  • Ensuring we can operationally deliver the AI strategy and continuous refinement of AI guidelines and policies
  • IT trouble-shooting and support
  • Managing 3rd party IT support agency
  • Tech set-up for new joiners and freelancers

Managing infrastructure beyond IT; AV & Tech, printers, phones and mobiles etc

Managing studio facilities; working with the building management team to ensure smooth running

Travel booking

Managing supplies, including stationery and consumables

Organisation of the studio; furniture, fixtures and fittings, managing upkeep and any studio renovations

Resource management

‘Traffic Management’ coordination of the allocation of people/roles to projects working with client services and project leads

Sourcing, contracting and onboarding of freelance staff

Prepare for all new starters and freelancers to work, within the studio or remotely

Ensure all new starters are fully inducted into the studio and the operations infrastructure

Softer management of people and studio needs such as celebrating birthdays and other special occasions

Work with HR to record and monitor of all Householders holidays/ sickness/Lieu days

Work with Finance to ensure weekly timesheets are submitted agency wide

Team and culture

Ownership of the studio calendar

Organisation of Household events e.g. company meetings, breakfast/lunch club, drinks, parties, awaydays etc

Environmental and community

Management of Company recycling and confidential waste disposal to ensure maximum recycling and minimised environmental impact

Embed our ESG commitments, such as recycling and support of local communities, into the studio culture

Management and regular audit of suppliers to maximise our use of local suppliers with strong ESG commitments

Organisation of fundraising events for local community projects

Health, Safety and Security

Implement Company Health & Safety policy ensuring procedures are observed, including Fire Safety Regulations

Security: manage keys, alarms and locking up processes

Disaster recovery; manage and maintain the business continuity plan

Essential Tech/Software requirements

The job holder requires excellent Tech skills; experience with Mac and MS Office (Outlook and Teams).

Essential experience using a project management tool e.g. Productive or similar

Digitally and AI savvy, with the ability to leverage AI tools to streamline studio operations, improve workflow efficiency, support project administration, and identify opportunities for smarter ways of working across the business.
