Studio Operations Manager
Job Description
The Studio Operations Manager is an important role. They are responsible for ensuring that the studio runs efficiently, responsibly, and on budget and enabling the agency's creativity, work, culture, and values. As well as being the first point of contact for the team, visitors, and suppliers, they plan, manage, and review all aspects of the physical studio operation.
The Studio Operations Manager is crucial to the smooth running of the agency, both within and outside the studio environment. They represent Household and should embody and promote the agency's values.
Studio operations
Responsibilities:
- Front of house duties, phone answering, welcoming and assisting all clients and visitors to the studio
- Meeting room diary management, AV/technical support, and hosting
- Development of studio budgets; the monitoring and management of expenditure to achieve them
- Selecting, negotiating contracts with, and actively managing studio suppliers to ensure cost-effectiveness, environmental responsibility, and support to the local community. This includes annual reviews of contracts and service levels, keeping files up-to-date and accurate
- Managing Tech including:
Computer hardware budgets, purchase, rental and maintenance
Management of servers and Dropbox including development and implementation of filing and archiving protocols
Management of software licences and budgets
IT trouble-shooting and support
Management of 3rd party IT support agency
Tech set-up for new joiners and freelancers
- Management of infrastructure beyond IT; AV & Tech, printers, desk phones and mobiles etc
- Management of studio facilities; working with the building management team to ensure smooth running
- Travel booking including couriers, taxis, trains and flights for the team.
- Monitoring and timely ordering of supplies, including stationery and consumables
- Organisation of the studio layout; furniture, fixtures and fittings, managing upkeep, repairs and maintenance to ensure an attractive environment
- Research and identify new ways of working, new tech, best practices to share with the Operations team
- Special projects, such as studio renovations and/or relocation
- Ensure cover is organised when required and handover information is updated
Staff support and resource management
Responsibilities:
- ‘Traffic Management’ coordination of the allocation of people/roles to projects in conjunction with client services, project and function leads, including facilitation of the weekly work planning meetings and administration of the resource planner in Productive
- Sourcing, contracting and onboarding of freelancers as required
- Prepare for all new starters and freelancers to work, within the studio or remotely, including desk, computer, tech, email, company charge card, Productive etc and the reverse for leavers
- Ensure all new starters are fully inducted into the studio and the operations infrastructure - server, filing, phones, keys, security
- Support all staff within the studio – softer management of people and studio needs such as celebrating birthdays and other special occasions
- Work with HR to record and monitor of all Householders holidays/ sickness/Lieu days
- Work with Finance to ensure weekly timesheets are submitted agency wide
Team and culture:
- Ownership of the studio calendar ensuring events are managed in a timely manner
- Organisation of Household events e.g. company meetings, breakfast/lunch club, drinks, parties, awaydays etc
Environmental and community
- Management of Company recycling and confidential waste disposal to ensure maximum recycling and minimised environmental impact
- Embed our ESG commitments, such as recycling and support of local communities, into the studio culture
- Management and regular audit of suppliers to maximise our use of local suppliers with strong ESG commitments
- Organisation of fundraising events for local community projects
Health, Safety and Security
- Review and implement Company Health & Safety policy ensuring procedures are observed
- Induct employees on Health & Safety rules, keep record of accident and sickness forms
- Fire Safety Regulations – keep record of all relevant testing and legal requirements and organise test drills where necessary
- Security: set alarms, lock up, designate responsibility for this when not in studio
- Disaster recovery; manage and maintain the business continuity plan, keep updated and organise regular reviews
Training and development
- Skills-based training in Fire Safety and First Aid in the Workplace
- Diversity, Equity, and Inclusion (DEI) unconscious bias training
Essential Tech/Software requirements
- The job holder requires excellent Tech skills; experience with Mac and MS Office (Outlook and Teams).
- Essential experience using a project management tool e.g. Productive or similar
- A Dropbox Wizz
Other requirements
- Excellent spoken and written English
- Eligibility to work in the UK
- Previous experience in a creative agency environment
Job location
This is primarily a studio-based role; you will work from Household's Shoreditch offices, with the flexibility to work remotely for one to two days each week depending on studio requirements.
Contract: Permanent, 5 days a week
Reports to: Finance & Operations Director
Key Team Relationships: EA to Directors/HR and Finance Manager
