The Role
We’re looking for a bright, highly organised, and motivated Front of House & Bookings Coordinator to join our growing team. This is an exciting opportunity to be a crucial part of our operations. As a key part of our team, you will work closely with our Studio Manager to ensure the smooth running of the studios and to continuously improve our offering.
Key Responsibilities
Studio & Booking Coordination
Oversee and organise day-to-day studio enquiries via phone and email, ensuring smooth communication with potential clients.
Manage the bookings calendar, ensuring all details are accurately documented and providing relevant information to clients and our internal team.
Organise and conduct client studio viewings, showcasing the space and discussing their needs.
Liaise with the Production and Event teams to ensure the smooth running of in-house productions and events.
Front of House & Client Experience
Manage the phone and reception, acting as the first point of contact for anyone entering the studios.
Support and accommodate clients' needs during shoots and events, ensuring the best possible experience.
Documentation & Administration
Maintain pre- and post-shoot documents, including quotes, deposit invoices, cost summaries, final invoicing, health & safety documents, and catering requirements.
Logistics & Coordination
Liaise with the Film & Photography and Events departments regarding studio availability, shoot requirements, and logistics.
Client Catering & Presentation
Collaborate with the Studio Manager and chef to plan shoot catering menus, ensuring they meet client needs and dietary requirements.
Help oversee the service and presentation of catering during shoots and events, maintaining high standards.
Sales & Marketing Support
Actively seek new client opportunities and develop relationships with existing clients.
Assist in driving bookings through targeted campaigns, email marketing, and studio newsletters.
Work with the social media lead to highlight past shoots, to create new social media content and to promote the studio across various platforms.
Maintain and monitor the studio sales database, using the company CRM system to update potential leads.
Company Events & Community Engagement
Help organise company events such as client drinks, supper clubs, and other studio and production-related gatherings.

Useful Experience
Familiarity with studio settings or production booking experience
Adept at administrative tasks, logistics, or scheduling
Background in hospitality, event planning, or venue coordination
A focus on client relations, customer service, or account handling
Bonus Experience
Passion for film, photography, fashion, events, or the entertainment industry
Experience in location management, venue hire, or facilities management
Background in marketing and sales and an interest in social media
Familiarity with Google Workspace, Adobe Creative Cloud and Pipedrive or similar CRM systems.
Interest in community engagement and social & sustainability initiatives.

Hours
Full time (5 days a week at the studios)
On non-booking days, hours are typically 9am-6pm
On booking days, hours are typically 8am - 6pm
