Intermission Film is looking for an experienced and dynamic Office & Facilities Manager to look after three busy offices (all practically neighbours!) based in Shoreditch. This role requires someone who is proactive and positive whilst employing good judgement with unwavering confidence in their decision-making.
In this role you will work closely with the Operations Manager and the front-of-house team, working across all operational departments within Intermission Film, to facilitate the smooth day-to-day running of all offices.

KEY TASKS AND ACCOUNTABILITIES
- Day to day upkeep of the office(s) and managing all reactive requests.
- Manage the physical upkeep of the building and its contents.
- Ensure facilities are well maintained. Hold regular inspections and keep centralised logs.
- Identify any building improvements or staff needs and proactively organise good, repairs or replacements.
- Oversee building work and maintenance – liaise with all suppliers and tradesmen to ensure high levels of service and good working relationships.
- Have an established black book of trade contacts – building, Electrical, internet (postproduction equipment vendors ideal) centralise that information and introduce new contractors to our roster.
- Manage reception/front reception/front of house team – oversee their development and training within an operational capacity working closely with other departments.
- Day-to-day point of contact for landlords/managing agents, services.
- Implement office health and safety and provide reports as necessary.
- Complete risk assessments as necessary.
- Asset tracking and data logging of company assets
- Assist with operational expenses and finance reporting.
- With the support of the Operations team, maintain a full inventory of all fixtures, fittings, and
- furniture.
- Support in events organisation: e.g., annual Christmas parties, private cinema screenings,
- regular team dinners and socials, etc.
- Support with preparations and presentations for studio, streamer, and all client security compliance / inspections.
- Manage and maintain all services throughout the buildings (e.g., Internet, utilities, maintenance, cleaners, air conditioning, fob access, security alarms).
- Maintain audit logs relating to security and access. Door fobs, alarm system, and CCTV ensuring we maintain security protocols across the company.
- Ensure company compliance relating to regulatory bodies e.g., HSE, fire regulations, building
- regulations, local councils, and insurance policies.
EXPERIENCE AND REQUIREMENTS
- Proven experience working in an office or facilities role in a busy and fast-paced creative or agency environment.
- Great interpersonal and communication skills, with the ability to build strong and trusted working relationships with a variety of stakeholders, internally and externally.
- Strong organisational skills and the ability to prioritise workloads in a reactive environment with conflicting demands.
- Ability to keep a level head whilst maintaining a can-do attitude under pressure.
- Tech-savvy with a strong working knowledge of mac OS applications.
- A highly service-orientated mindset with strong attention to detail and excellent problem-solving skills.
