Job Description
We are looking for a Studio Manager / Projects Coordinator who is excited about grasping a new challenge. Working directly with the CEO & founder, alongside a dedicated team of remote developers and freelance strategists and designers, this is an exciting opportunity to be in at the start of a new and growing company, helping shape processes, designing systems and creating great ways of making great work.
Located in the heart of Shoreditch, with a mix of office and remote working, Schema Studios provides branding, digital transformation, technical consultancy and content services within the luxury hospitality, travel and property sectors - with clients spread across the globe. We create platforms that balance the desire for the exquisite design aesthetics demanded by premium & luxury brands with the need for robust, conversion-focussed solutions.

What you’ll be doing:
General
- Making the agency work like clockwork.
- Delighting clients with your empathetic and solution-focussed approach.
- Being passionate about the delivery of great work.
- Supporting the CEO in growing the company, culture and profit.
Day to Day
- Manage the workload of a team of retained and freelance resources.
- Develop processes to improve communication and workflow management.
- Be proactive in solving short term scheduling challenges or utilisation gaps.
- Maintain a constant knowledge of current and upcoming projects including business development activities.
- Plan and forecast future work, making recommendations for upcoming resourcing needs and opportunities.
- Grow and maintain a freelance talent pool.
- Coordinate freelance strategists, UX and UI designers and others, managing their contracts, deadlines and deliverables.
- Work with the technical manager to review and update monthly development resourcing.
- Ensure retainer hours are planned, updated, tracked and delivered.
- Manage client communications, updates and deliverables.
- Facilitate internal scoping and progress meetings.
- Run retainer prioritisation meetings with clients.
- Manage client feedback, testing and review.
- Support with content entry and testing.
What we need from you:
- Experience working in a studio management or a projects coordinator role - ideally within a digital agency.
- A strong understanding of digital design & build.
- Understanding of brand and visual identity process beneficial.
- Experience working with content management systems, ticket management systems and other process tools.
- Experience defining and managing priorities.
- Excellent team & relationship building skills
- Experience building client relationships & stakeholder management
- Robust, pro-active management of time and costs.
- General understanding of web technologies
- Good understanding of UX/UI and visual design principles.
- Experience working in a start-up or similar environment where adaptability and a hands-on approach are essential, would be ideal.
