Who are we?

We are a multidimensional creative studio specialising in the fields of design, film and visual arts. Our London and Los Angeles studios work closely with the world's leading brands and agencies to produce award-winning creative content.

We are seeking a highly organised and motivated Operations & Resource Manager for a 12 month maternity leave FTC to oversee the day-to-day operations of our vibrant London studio. This is a hybrid role (3 days in office, 2 days remote) offering the chance to make a tangible impact on the efficiency and success of our studio.

Responsibilities:

Resource Management & Operations:

  • Develop, implement, and maintain efficient operational workflows, including resource allocation, freelance management, and recruitment.
  • Partner with Senior Creative Management and take ownership of resource allocation for the creative team, ensuring optimal utilisation of talent and skills.
  • Proactively manage project resource allocations, identify potential overruns or underestimations, and communicate effectively with producers and project leads.
  • Lead bi-weekly production meetings to review project status, resource allocation, and track actionable items.
  • Conduct post-project "Wash-Up" sessions, analyse findings, and present actionable insights to senior management.

Freelance & Team Management:

  • Own the freelance process, including budget monitoring, proactive communication with Finance and Senior Creative Management, talent sourcing, and managing legal/financial/administrative aspects.
  • Foster clear communication and collaboration across all teams.
  • Continuously evaluate and improve existing processes, develop supporting tools/templates/documentation, and maintain internal best practices.
  • Participate in recruitment, collaborate with ‘The Landor Group’ HR team on onboarding, and monitor new team member progress.
  • Line manage the Studio Manager, ensuring all responsibilities are met.
  • Collaborate with the Head of Technology on IT decisions and monthly IT meetings.

Additional Responsibilities:

  • Manage VISA processes and liaise with legal counsel.
  • Correspond with WPP IT Compliance alongside the Head of Technology.
  • Oversee project security protocols for specific clients.
  • Partner with the Studio Manager on awards submissions, press inquiries, and ad-hoc requests from the Landor Group.
  • Manage social media tracking and planning, collaborating with producers on project release dates and promotional constraints.
  • Provide ad-hoc support to the CEO.
  • Maintain meticulous documentation and ensure compliance paperwork is up-to-date.
  • Contribute to the social events team.

Your Profile:

  • Proven understanding of creative studio operations and administration.
  • Exceptional organisational skills with the ability to prioritise effectively.
  • Approachable and friendly demeanour with strong communication skills at all levels.
  • Proactive problem-solver with a passion for efficiency and process improvement.
  • Meticulous attention to detail and ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Positive and constructive approach, even under pressure.

Qualifications:

  • Minimum 5 years of experience in a traffic coordination or project management role within a creative agency or similar environment.
  • Proven personnel management experience.
  • Strong understanding of the creative design and animation process.
  • High proficiency in G Suite or Microsoft Office Suite.
