Job Description

BIG London is looking for an ambitious and hands on Senior Office Coordinator to support our Office & Community team in the daily running of our office and elevate our hospitality level.

You will be based in our London office together with 170 fantastic colleagues, where you will work closely with the Office & Community team. You will be reporting to the Office and Community Manager and will become part of a fast-paced, young, and vibrant office, where no two days are ever the same and thriving in a busy environment is key. While official working hours are 9:00-18-00, we occasionally host evening events and early morning meetings, so flexibility is important too.

Maintaining an overview and juggling many tasks simultaneously is a big part of the job, hence understanding the needs of the office, being proactive and service-minded, as well as having an acute sense of urgency are important to fulfil the role. No task is too small, and no ambition is too great.

  • Welcoming all office visitors.
  • Covering the front desk during business hours, while being the first and last point of contact for all staff and visitors.
  • Ensuring the office is presentable, inviting, and inspiring.
  • Monitoring and actioning the LON email, answering the office phone with warmth and professionalism.
  • Distributing incoming mail and packages and arranging courier deliveries.
  • Overseeing meeting room schedules and coordinating meetings for the office, ensuring the meeting rooms are always booked, prepared, and cleaned.
  • Organising travel and visa bookings in accordance with the company travel policy.
  • Providing Office & Community Manager support with office parties and other office events. (Friday bars, CPD events, site visits, annual summer and Christmas parties, client events etc.)
  • Support the Office & Community Manager with ad-hoc tasks.
  • Taking on Fire Marshal and First Aid officer duties for the office.

We seek a person who:

  • Is fluent in English.
  • Mid to Senior level experience required in an administrative, client facing, front of house reception role.
  • Has experience with international travel bookings and obtaining visas.
  • Has thorough knowledge of the Microsoft Packages.
  • Is organised, structured and has an eye for detail.
  • Is calm, focused, and capable of multi-tasking and prioritising independently.
  • Is service-minded, positive, and trustworthy.
  • Is ambitious, hands-on and loves to take initiative.
  • Has excellent interpersonal skills and written communication skills.
  • Enjoys a busy and creative environment with many personalities.

This job description reflects the core activities of the role although there will likely be changes to the emphasis of duties required from time to time.

This is a full-time position based out of BIG’s London office.

The salary for the role will be subject to relevant experience and qualifications.
