Who we’re looking for

We’re on the look out for a Studio Manager to join our team for a minimum 6 month Maternity Cover contract with the possibility to extend. We are a hybrid working team with an office in Whitechapel for the days people want to come in. Here are some more details on the role:

Responsibilities

Operations

  • Main point of contact for company website enquiry email, screening enquiries directing to the relevant department head
  • Managing and maintaining project management software (Streamtime)
  • Managing the studio resource schedule with the client services team
  • Managing relationship with co-working office management team (X+Why Whitechapel)
  • Ambassador of B Corp and managing re-certification and maintaining processes and policies
  • Coordinating and managing all IT requests such as new machines, new hardware, software, licensing
  • Liaising and managing relationships with suppliers and recruiters
  • Organising and managing team events and get togethers (including summer weekend away)

HR

  • Managing the HR system (SafeHR) and making sure team records are up to date
  • Working alongside senior management to implement and maintain HR and Health and Safety policies and processes
  • Management of staff movements, holiday approvals, absence recording and working remotely or at the office
  • Managing the recruitment process and onboarding new team members
  • Maintaining the freelance database and managing the recruitment of freelancers when needed
  • Coordinate and manage the Nice and Serious Development programme (ensuring process is followed and each team member is on track)
  • Ensure Inclusion, Equity and Diversity commitments are followed and co-ordinate and manage activities that are developed by the committee

Finance

  • Managing and maintaining the project Finance Dashboard
  • Supporting bookkeeper and Finance Director in day-to-day finance admin and reporting
  • Managing finance comms and client/supplier query resolution
  • Ownership of monthly client invoicing
  • Reconciliation of client payments and ensuring client invoices are paid on time
