THE ROLE

As Studio Manager you are responsible for the efficient and productive day-to-day running of the studio and a central figure in fostering the studio culture and ethos.

WHAT YOU'LL DO

You will be responsible for the day to day running of the studio by:

STUDIO

Providing the first point of contact for the company to all visitors, phone calls, deliveries and other incoming inquiries,

Maintaining the functionality and appearance of the studio and building, maintaining the alarms and security, heating & cooling, office equipment, managing the cleaner, ordering general office supplies and sundries.

Open up and securely close the studio, ensuring all heating, cooling, lighting, AV and coffee machine is turned off, and alarms are on and all locks are locked.You will be responsible for the building’s security and operations, as the main key holder.

Regularly, test and maintain alarms, fob entry system, emergency lighting, services and facilities and resolve any issues or action repairs that may arrise.

Run annual fire drills, assist with evacuation and make new employees aware.

Maintain an awareness of the development of studio’s systems and best practice, with a view to improving the studio’s productivity and accountability as time goes on.

Maintain a proactive approach by continually reviewing, streamlining and finding cost effective solutions to the facilities, supplies, utilities, systems, equipment and the use of it, including software and IT, to improve the studio process, best practice, accountability and productivity within in the studio.

Ensure contents records are up to date and assist the CEO with insurance renewals and ad hoc film production insurance packages

Preparing the studio for meetings, providing refreshment etc

Ensuring all meeting rooms are in perfect order at all times - AV working seamlessly and everything clean and tidy.

Supplier, utilities, & service provider management and development. Build strong and positive relationships with suppliers, constantly striving to obtain competitive quotes, and optimise profitability

Studio management responsibilities including software updating, printer and office supplies, stationery, paper, postage and couriers, cleaner, and the recycling system, sundries orders etc.

Filing, record keeping and document management.

STUDIO CULTURE

Organising Social Programme for the year including Xmas parties, sports day, welcome drinks and quarterly socials.

Organising and ordering ‘Tear ’n’ Share Lunches’ - bimonthly group lunches to share inspiring work

Development package tracking and reporting

Management of Work Experience Programme and Mentorship Scheme

Assisting with internship programme

Assisting with ‘In the Making’ events

FINANCIAL ADMINISTRATION

Financial administration (using Xero)

Liaison with the accountant and bookkeeper: build close relationship and supply all the information needed for bookkeeping

Yearly audit of studio overheads, concluding ways to reduce costs and improve the studio

Yearly audit of creative resourcing - tracking both in house time and freelance expenditure

IT ADMIN

Software updating, installing new software, purchasing correct amount of software for freelancers.

Tracking software subscriptions and plug-ins

Speaking to our external IT team for troubleshooting issues

Managing remote pipeline

Archiving and retrieving completed projects

Assisting production with any IT tasks

Purchasing and scoping new IT equipment

Setting up new equipment

Data officer of the studio, ensuring adherence with cyber security protocols and data privacy (in collaboration with external IT partners)

Proactive researching of IT improvements in pipeline

Onboarding freelancers in G Suite

HR

Assisting with work visas for any foreign workers

Assisting Head of Production and CEO with onboarding process

Health and Safety Officer - carrying out risk assessments, implementing health and safety procedures, creating and updating the health and safety policy, providing training and updating the team about new procedures

Assisting with appraisal arrangements
